The Executive Paralegal/Executive Assistant role at Southworth PC is a critical position that bridges high-level legal work and executive support. This dual role is designed to ensure continuity, precision, and momentum across both legal matters and day-to-day operations. You will play a key role in managing complex legal workflows, client communications, and executive priorities, directly contributing to operational stability, client outcomes, and the firm’s ability to function at a high level during an important period of growth and evolution What you’ll do:

  • Legal Research and Writing: Conduct comprehensive legal research and draft necessary documents including motions and appeals.
  • Document Preparation: Prepare, proof, and file legal documents, utilizing platforms such as the EEO and MSPB portals.
  • Caseload Management: Support an active legal caseload by tracking deadlines, coordinating filings, and ensuring client communications are handled accurately, professionally, and on time.
  • Executive Support: Own executive inbox and calendar management, proactively prioritizing requests, anticipating needs, coordinating travel and meetings, and ensuring high-priority items are followed through to completion.
  • Client Communication: Manage and coordinate client communications related to active matters, ensuring timely, accurate, and professional follow-through in alignment with attorney guidance.
  • Operational Coordination: Collaborate with internal teams to maintain efficient legal and operational workflows, helping translate priorities into action in a fast-moving environment.

What we’re looking for:

  • Legal Experience: High-level paralegal experience with proven ability in legal research, writing, and litigation support.
  • Executive Support Skills: Expertise in managing high-volume inboxes and calendars for senior executives.
  • Communication Skills: Strong, professional communication and coordination abilities with clients and internal teams.
  • Technical Proficiency: Familiarity with e-filing systems and legal document management tools such as MyCase and Dropbox.
  • Detail Orientation: High degree of attention to detail and organizational skills, necessary for managing multifaceted responsibilities.
  • Resilience and Flexibility: Able to manage shifting priorities, handle time-sensitive work, and engage confidently and professionally in direct, outcome-focused discussions
  • Judgment & Follow-Through: Comfortable managing priorities proactively, including flagging issues, recommending next steps, and ensuring commitments are executed.
  • Proactivity & Ownership: Proactively flags issues, recommends next steps, and ensures commitments are followed through to completion.
