[Remote] Email Operations Coordinator (Contract)

Clarion Events North America is one of the fastest-growing event companies in the United States, specializing in managing and producing diverse trade and consumer events. They are seeking a detail-oriented Email Operations Coordinator to ensure the smooth execution of email deployments and maintain communication with internal teams and external customers during a short-term maternity leave.

Responsibilities

  • Own day-to-day execution of scheduled third‑party emails and newsletters, working proactively against the media email calendar
  • Pull and prepare the approved list segments based on the defined criteria and send the requirements
  • Prepare, test, and deploy emails with a high level of accuracy and attention to detail
  • Perform thorough QA checks to ensure content, links, lists, and send details are correct prior to deployment
  • Serve as the primary point of contact for internal teams and external customers related to scheduled email sends
  • Coordinate assets, approvals, audience details, and timing across marketing, sales, editorial, and other stakeholders
  • Communicate clearly and early if timelines, approvals, or assets are at risk
  • Confirm audience requirements and segmentation details before each send, and ensure the correct lists are applied
  • Maintain clear tracking of scheduled, approved, and deployed emails
  • Follow established processes, templates, and standards to ensure consistency and reliability
  • Flag potential conflicts, gaps, or risks in the calendar early and help identify solutions

Skills

  • 1–3 years of experience executing email deployments
  • Basic HTML experience for email (comfortable making light edits or troubleshooting issues)
  • Familiarity with email platforms and testing workflows
  • Strong attention to detail and ability to manage multiple deadlines simultaneously
  • Comfortable working with calendars, checklists, timelines, and approvals
  • Clear, confident communicator who works well with both internal teammates and external customers
  • Highly organized, reliable, and accountable – someone others trust to follow through
