About the Role

As a Global Equity Plan Administration Specialist at arenaflex, you will play a critical role in supporting the administration of long-term incentive plans, stock purchase programs, and equity-based compensation awards for our global workforce. Reporting to senior leadership in our Global Equity function, you will be responsible for performing proactive data audits, processing complex equity transactions, and serving as a trusted point of contact for plan participants and internal stakeholders.

Key Responsibilities

  • Equity Plan Data Audits: Conduct daily, weekly, and monthly proactive data audits to ensure operational compliance of equity-based long-term incentive plans and employee stock purchase plans. Identify discrepancies and recommend corrective actions.
  • Award Processing: Process the release of Performance Share Units (PSU), Restricted Stock Units (RSU), and stock purchase plan matching share awards with a high degree of accuracy and timeliness.
  • Transaction Review: Review equity transaction activity, including stock option exercises, RSU and PSU releases, and stock purchase plan activities, to ensure accurate and timely purchase, release, settlement, and reporting.
  • Stakeholder Support: Research, track, and respond to inquiries from plan participants, process partners, and other stakeholders in a professional and timely manner.
  • Grant and Enrollment Support: Support the equity-based long-term incentive award grant process and stock purchase plan enrollment activities, including communications, system updates, and documentation.
  • Ad-Hoc Analytics and Reporting: Produce ad-hoc data analytics or reports in support of ongoing operations, leadership requests, and strategic initiatives.
  • Process Documentation: Review and maintain equity management procedures and documentation to ensure consistency, audit-readiness, and continuous improvement.
  • Additional Duties: Perform other equity plan management tasks as requested by management to support the broader Global Equity team.

Qualifications and Requirements

Essential Qualifications

  • Educational Background: Bachelor's Degree in Finance, Accounting, Business Administration, Human Resources, or a related field, or equivalent practical work experience.
  • Professional Experience: A minimum of one year of experience in stock plan administration, payroll, tax, accounting, or a closely related discipline.
  • Equity Plan Knowledge: Hands-on experience working with a variety of stock plan products, including stock options, Performance Share Units (PSU), Restricted Stock Units (RSU), and employee stock purchase plans.
  • Systems Proficiency: Demonstrated ability to learn new tools, systems, and processes quickly. Experience with HRIS platforms (Workday experience is highly preferred) and an understanding of data transfer methods and integrations.
  • Analytical Skills: Ability to analyze complex data sets, identify trends, and convert findings into clear, actionable recommendations.

Preferred Qualifications

  • Experience working within a global, matrixed organization with exposure to multiple countries and regulatory environments.
  • Familiarity with equity plan management platforms such as E*TRADE, Fidelity, Morgan Stanley, or similar providers.
  • Working knowledge of international equity taxation and reporting requirements.
  • Professional certification or coursework in compensation, payroll, or stock administration (e.g., CEP certification).
