Recruiting Specialist
CoBank is a cooperative bank serving vital industries across rural America. They are seeking a Recruiting Specialist to provide operational support across the talent acquisition lifecycle, focusing on interview coordination and offer acceptance processes, while ensuring a seamless experience for candidates and hiring managers.
Responsibilities
- Provides day-to-day administrative support to the Recruiting team
- Coordinates and manages the scheduling of all interviews, whether conducted by phone, Teams, or face-to-face. This includes interview scheduling, aligning availability across candidates, hiring managers, and interview teams
- Manages candidate travel and coordination, including booking and itinerary communication
- Processes candidate expense reimbursement, ensuring accuracy and timely submission
- Sends offer acceptance communications to candidates, including confirmation and next steps
- Sends offer acceptance communications to hiring managers, confirming acceptance and outlining next steps
- Coordinates relocation logistics for candidates, ensuring alignment with policy and timelines, partnering with vendors and internal stakeholders as needed
- Manages background check process in accordance with standard procedures, including tracking and follow-up, escalating discrepancies for review, and managing all communications with candidates and hiring managers
- Launches pre-boarding activities, including compliance-related questions and required documentation
- Completes new hire setup in HR systems, ensuring data accuracy
- Executes pre-start termination process when required, following established procedures
- Provides support to the recruiters sourcing, creating email/text campaigns, conducting phone screens and backup in recruiters' absence
- Conducts tours for candidates when needed
- Reconciles invoicing and the recruiting credit card
Skills
- Bachelor's Degree in Business Administration, Human Resources, or related field required
- Bachelor's degree may be substituted with related experience, or an equivalent combination of education and related experience
- Ability to follow defined processes and procedures with strong attention to detail
- Ability to manage and prioritize multiple tasks of routine to moderate complexity
- Builds effective working relationships with internal stakeholders and candidates
- Excellent verbal and written communication skills
- Excellent time management skills with a proven ability to meet deadlines
- Aptitude for problem-solving and applying knowledge of employment-related laws and regulations
- Proficient with HRIS and other HR systems
- Proficient with Microsoft Office Suite or related software
- 1 year of related experience in recruiting coordination, HR operations, or administrative support preferred
- 1 year of experience in HRIS, and other HR systems preferred
