[Remote] Digital Management & Operations Coordinator - Costa Rica
Note: The job is a remote job and is open to candidates in USA. Entrepreneur Cooperative is seeking a highly organized and proactive Operations & Executive Coordinator to support leadership and operational workflows in a fast-paced remote environment. The role involves managing executive communications, vendor coordination, website management, and assisting with marketing content organization.
Responsibilities
- Manage and organize the CEO’s inbox and communications
- Flag high-priority emails and assist with response prioritization
- Coordinate calendars, meetings, reminders, and follow-ups
- Help move projects and action items from pending to completed
- Prepare notes, summaries, and operational follow-ups
- Research and identify vendors nationwide, including:
- Steel suppliers
- Erection crews
- Specialty construction vendors
- Gather and organize vendor information including:
- Contact details
- Pricing
- Service areas
- Availability
- Maintain searchable vendor databases and spreadsheets
- Follow up with vendors to obtain missing information
- Update and maintain product listings in WordPress
- Upload and organize product photos and project images
- Use Adobe Photoshop or similar tools to resize and optimize images for web
- Assist with updating product descriptions and website content
- Help maintain visually organized and accurate product pages
- Organize project photos and video assets from construction builds
- Create simple marketing videos for social media and website use using existing content
- Maintain organized media libraries and digital assets
- Coordinate with leadership regarding marketing priorities and deadlines
- Coordinate deliveries, scheduling, and logistics activities
- Help track materials, shipments, and operational timelines
- Assist with internal reporting and operational administrative tasks
- Support day-to-day operational problem solving and coordination
- Data entry and documentation management
- Organize digital files and internal systems
- Handle recurring administrative tasks
- Provide support wherever needed to help operations run efficiently
Skills
- Previous experience in: Executive support
- Previous experience in: Operations coordination

- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills in English
- Comfortable researching vendors and making professional outbound calls
- Experience with WordPress website updates
- Experience using Adobe Photoshop, Canva, or similar design tools
- Basic video editing skills for marketing or social media content
- Strong spreadsheet and data organization skills
- Ability to work independently and manage multiple moving priorities

- Experience supporting executives or company owners
- Construction, logistics, or vendor management experience
- Strong Excel or Google Sheets skills
- Experience managing operational workflows in fast-paced businesses
