About the Role: Customer Service Specialist – Administrative Analyst (Non‑Exempt)

Student Business Services (SBS) is the financial heartbeat of arenaflex. Our team acts as the university’s cashiers, safeguarding and allocating funds between students, banks, internal departments, and external partners. As a Customer Service Specialist – Administrative Analyst, you will be the welcoming front door of SBS, delivering accurate, compassionate, and timely assistance to students, parents, and campus partners.

This full‑time, non‑exempt position reports to the Associate Director of Student Business Services and works Monday through Friday, 8:00 AM – 5:00 PM. You will collaborate closely with Financial Aid, Admissions, the Registrar, Accounts Payable, and other student service units to ensure seamless financial interactions across the campus.

Key Responsibilities

Student‑Facing Service Delivery

  • Provide knowledgeable, courteous assistance via phone, live chat, and in‑person interactions regarding tuition, fees, payment plans, refunds, and related financial matters.
  • Conduct private consultations to identify personalized payment solutions, ensuring students understand their options and obligations.
  • Maintain strict confidentiality in accordance with FERPA guidelines while handling sensitive financial data.
  • Act as the primary point of contact for inquiries about arenaflex policies, procedures, and federal or state regulations that affect student accounts.

Administrative & Analytical Functions

  • Research, investigate, and resolve complex student questions, documenting findings and recommendations for future reference.
  • Analyze financial data, generate accurate projections, and prepare concise reports for internal stakeholders.
  • Assist in the preparation and distribution of departmental communications, including social‑media content that supports customer service initiatives.
  • Oversee minor clerical operations such as filing, data entry, and record maintenance to ensure compliance with budget policies and institutional standards.

Collaboration & Continuous Improvement

  • Partner with Financial Aid, Admissions, Registrar, and other campus units to streamline processes and eliminate service bottlenecks.
  • Stay current on industry best practices, federal regulations, and arenaflex policy updates; proactively recommend enhancements to improve efficiency and student satisfaction.
  • Contribute to team meetings, share insights, and support cross‑training efforts to build a resilient, knowledge‑rich service environment.

Essential Qualifications

  • Bachelor’s degree from an accredited institution or equivalent combination of education and relevant administrative experience.
  • Demonstrated ability to interpret, apply, and communicate a wide variety of policies, procedures, and regulations.
  • Proficiency in basic statistical methods and business mathematics for data analysis and forecasting.
  • Strong written communication skills, with experience drafting clear, professional reports and correspondence.
  • Ability to make independent decisions, exercise sound judgment, and manage multiple priorities in a fast‑paced environment.
  • Experience establishing and maintaining cooperative working relationships across diverse stakeholder groups.

Preferred Qualifications

  • Hands‑on experience with PeopleSoft Student Financials or a comparable enterprise resource planning (ERP) system within a higher‑education setting.
  • Familiarity with federal and state regulations governing student financial services, including Title IV, FAFSA, and California State University (CSU) policies.
  • Prior customer‑service experience in a university or college environment, demonstrating an ability to navigate complex student needs with empathy.
