That's why we're searching for a dedicated, detail-oriented Remote Customer Service Representative and Dispatcher to join our thriving Residential Department. About the Role

As a Remote Customer Service Representative and Dispatcher at arenaflex, you'll serve as the critical link between our valued customers and our skilled field technicians. Your day will be dynamic, engaging, and rewarding. From the moment you log in, you'll be fielding inbound calls from homeowners seeking heating and air conditioning service, coordinating schedules, and ensuring our technicians are routed efficiently based on geography, skill set, and urgency. Your work directly impacts customer satisfaction, technician productivity, and the overall success of our residential operations.

This hybrid position is structured to give you the best of both worlds: meaningful in-person collaboration combined with the flexibility of remote work. You'll spend Wednesdays in our welcoming Chantilly office from 8:00 AM to 5:00 PM (with a one-hour lunch break), and the remainder of your work week — Mondays, Tuesdays, Thursdays, and Fridays — you'll work remotely from the comfort of your home office from 8:00 AM to 5:00 PM (with a one-hour lunch break).

Key Responsibilities

  • Inbound Call Management: Handle a steady stream of incoming phone calls from residential customers seeking HVAC service, maintenance, and repair appointments. Provide courteous, knowledgeable, and efficient assistance that reflects the professionalism of arenaflex.
  • Appointment Scheduling: Coordinate and schedule service appointments with precision, balancing customer preferences, technician availability, and route efficiency to maximize daily productivity.
  • Technician Dispatching: Strategically route field technicians based on location, job priority, and skill requirements. Ensure that the right technician is matched to the right job at the right time to optimize response times and customer satisfaction.
  • Outbound Communication: Conduct daily outbound phone calls to confirm appointments, follow up on completed service, and reach out to existing customers regarding maintenance reminders and promotional offerings.
  • Database Management: Accurately enter, update, and maintain customer information within our Service Titan customer database. Ensure data integrity for efficient retrieval and reporting.
  • Team Collaboration: Cultivate a positive team atmosphere by working closely with fellow dispatchers, technicians, and management. Share insights, support colleagues, and contribute to a culture of mutual respect and continuous improvement.
  • Problem Resolution: Address customer inquiries, concerns, and scheduling conflicts with empathy and resourcefulness, escalating issues to supervisors when appropriate.
  • Documentation: Maintain thorough records of customer interactions, service requests, and dispatch activities to ensure transparency and accountability across the department.

Essential Qualifications

  • Call Center Experience: A minimum of one year of previous call center experience, ideally in a customer service or dispatching capacity.
  • Typing Proficiency: Ability to type approximately 70 words per minute with high accuracy, essential for managing simultaneous conversations and documentation.
  • High Volume Capability: Demonstrated ability to handle a high call volume while maintaining composure, accuracy, and exceptional customer service.
  • Independence and Teamwork: A self-starter who thrives when working independently from a remote setup, while also contributing positively to a collaborative dispatch team environment.
  • Geographic Knowledge: Familiarity with the main cities, towns, and locations throughout Northern Virginia to support efficient technician routing.
  • Technical Aptitude: Must be comfortable documenting information accurately within a customer database, specifically Service Titan or similar CRM platforms.
  • Communication Skills: Outstanding verbal and written communication skills, with the ability to listen actively, speak clearly, and convey information with warmth and professionalism.

Remote Work Requirements

arenaflex provides the tools you need to succeed. We will supply a company laptop and cell phone for all remote work. To ensure a productive and professional home office environment, candidates must provide:

  • High-Speed Internet Connection: Reliable, high-speed internet service capable of supporting voice calls, software applications, and real-time data entry without interruption.
  • Quiet Workspace: A dedicated, quiet work area with minimal background noise, allowing for clear customer interactions and focused task completion.

Preferred Qualifications

  • Prior experience in the HVAC, plumbing, or home services industry
  • Familiarity with Service Titan software or comparable field service management platforms
  • Experience with multi-line phone systems and dispatch software
  • Bilingual capabilities are a plus
  • Previous remote work experience demonstrating self-discipline and productivity
