About the Role: Scheduling Care Coordinator - Remote | Work From Home As a Remote Scheduling Coordinator, you will be an integral part of our care coordination team, working closely with our Scheduling Care Supervisor and Regional Scheduling Manager to design and implement optimal scheduling strategies that cater to the unique needs of our clients. Your exceptional organizational skills, analytical mindset, and passion for delivering outstanding customer service will be essential in driving the success of our care coordination efforts. Key Responsibilities: Driving Excellence in Care Coordination

  • Collaborate with the Scheduling Care Supervisor and Regional Scheduling Manager to develop and execute scheduling protocols that ensure optimal client schedules, aligning with clinical directives and recommendations.
  • Formulate and implement scheduling plans that prioritize client needs, while proactively identifying and resolving scheduling challenges, including cancellations, conflicts, and electronic medical record discrepancies.
  • Manage appointment cancellations, organize substitute coverage or rescheduling as necessary, and provide timely updates to patients and therapists via email or other communication channels.
  • Collaborate with team members to guarantee the highest quality treatment plans for clients, anticipating potential scheduling complications and effectively communicating insights through the appropriate channels.
  • Process requests for therapist availability and time-off, ensuring supervisor approval via the scheduling helpdesk, while handling pre-authorizations and submitting patient benefits cases for services as required.
  • Manage a significant volume of calls, emails, and portal messages, addressing helpdesk tickets efficiently, and upholding HIPAA regulations to protect patient confidentiality in all communications.
  • Prioritize tasks, manage deadlines effectively, and complete assignments as directed by supervisors, while exhibiting flexibility in scheduling to meet departmental needs, including potential evening and weekend shifts.
  • Assist with various special projects and administrative responsibilities as needed, undertaking additional duties as required to support team and organizational objectives.

Essential Skills and Qualifications: The Ideal Candidate To excel in this role, you will need to possess a unique blend of technical, business, and interpersonal skills. The ideal candidate will have:

  • Proficiency in Microsoft Word, Excel, and relevant internet applications, with a strong command of English grammar, composition, and spelling.
  • Experience in delivering exceptional customer service and understanding customer satisfaction principles, with a proven track record of managing a high volume of communications, including calls, emails, and portal messages.
  • Familiarity with HIPAA regulations to safeguard patient information, ensuring confidentiality and compliance in all communications.
  • A Bachelor's degree is preferred, with a minimum of 2 years of scheduling experience within an office environment.
  • Knowledge of administrative procedures, record management, and office systems, with the ability to stand, walk, sit, kneel, or lift up to 40 pounds, with reasonable accommodations as necessary.

  • Previous experience in a care coordination or healthcare setting, with a deep understanding of clinical directives and recommendations.
