Our mission is simple yet powerful: to empower patients, clinicians, and administrators with tools and support that make healthcare smoother, safer, and more human. As part of this mission, we are expanding our front‑line team of Patient Registration specialists who are the first point of contact for patients entering the care continuum.

Role Overview

As a Customer Service Representative on the Patient Registration team at arenaflex, you will be the trusted voice that greets patients, gathers critical information, and helps them feel confident and cared for during the registration process. This role is fast‑paced, technology‑enabled, and deeply rooted in empathy. You will work side‑by‑side with clinicians, nurses, and insurance specialists to ensure that every patient’s data is captured accurately, securely, and compassionately.

Whether you are just starting your career or looking to pivot into healthcare, this position offers a solid foundation, comprehensive training, and a clear pathway to advanced roles within arenaflex’s expansive network.

Key Responsibilities

Patient Interaction & Data Capture

  • Answer inbound calls and greet patients in person, guiding them through the registration workflow with a calm and reassuring demeanor.
  • Collect, verify, and enter patient demographics, insurance details, and consent forms across multiple electronic health record (EHR) platforms.
  • Maintain a high degree of accuracy while typing at a speed that matches the pace of patient conversation.
  • Identify and resolve discrepancies in real time, escalating complex cases to supervisors or billing specialists as needed.

Compassionate Communication

  • Listen actively to patients’ concerns, fears, and questions, providing clear explanations and emotional support.
  • Build rapport quickly, using empathetic language to ease anxiety, especially for patients who are seriously ill or injured.
  • Follow up on incomplete or missing information, ensuring a smooth transition to the clinical team.

Collaboration & Workflow Management

  • Coordinate with physicians, nurses, and ancillary staff to prioritize registration tasks during emergent clinical care interruptions.
  • Navigate multiple software screens simultaneously, switching seamlessly between patient intake, insurance verification, and scheduling modules.
  • Participate in daily huddles and shift handovers to share critical updates and maintain continuity of care.

Continuous Learning & Quality Improvement

  • Complete arenaflex‑provided training on health plan variations, privacy regulations (HIPAA), and best practices in patient communication.
  • Contribute ideas for process enhancements, leveraging arenaflex’s AI‑driven analytics to suggest workflow optimizations.
  • Maintain compliance with all regulatory standards and internal policies, documenting interactions accurately for audit purposes.

Essential Qualifications

  • Education: High School Diploma or GED required.
  • Customer Service Experience: Demonstrated ability to deliver excellent service in a fast‑moving environment.
  • Communication Skills: Clear, articulate verbal and written communication; ability to convey complex information in simple terms.
  • Technical Aptitude: Comfortable using computers, navigating multiple applications, and learning new software quickly.
  • Multitasking Ability: Proven capacity to handle several tasks simultaneously while maintaining accuracy.
  • Emotional Resilience: Ability to stay composed and supportive when interacting with patients experiencing pain, fear, or distress.

Preferred Qualifications & Additional Assets

  • Previous experience in a call‑center, retail, or hospitality setting.
  • Familiarity with basic medical terminology or health insurance concepts.
  • Experience working in a hospital, clinic, or laboratory environment.
  • Certification in Customer Service Excellence (e.g., CCSP) or related fields.
  • Proficiency with electronic health record (EHR) systems or patient management software.

Core Skills & Competencies

  • Empathy & Active Listening: Ability to understand patient emotions and respond with genuine care.
  • Attention to Detail: Precision in data entry to avoid costly errors in billing and care coordination.
  • Problem‑Solving: Quick identification of issues and resourceful resolution without escalating every case.
  • Team Orientation: Collaborative mindset that values input from clinicians, peers, and supervisors.
