Key Responsibilities

Data Entry & Maintenance

  • Accurately input travel‑related information—including bookings, reservations, client profiles, and ancillary services—into arenaflex’s proprietary database and CRM platforms.
  • Maintain up‑to‑date records by regularly reviewing and editing entries to reflect changes, cancellations, or upgrades.
  • Ensure consistency of data formats, naming conventions, and field standards across all records.

Quality Assurance & Auditing

  • Conduct systematic audits of newly entered data to verify completeness, correctness, and compliance with internal policies.
  • Identify and correct discrepancies, duplicate entries, or missing information before they affect downstream processes.
  • Collaborate with the Quality Assurance team to develop and refine validation rules and error‑prevention scripts.

Record Management & Documentation

  • Organize digital files, contracts, and supporting documents in a structured, searchable repository.
  • Implement version‑control practices to track changes and maintain an audit trail for regulatory compliance.
  • Assist the legal and finance departments with retrieving records for audits, reporting, or dispute resolution.

Cross‑Functional Communication

  • Partner with reservations, customer service, and product teams to clarify data requirements and resolve ambiguities.
  • Provide timely updates on data‑related issues that may affect booking confirmations, itinerary changes, or client communications.

Reporting & Analytics Support

Compliance & Data Security

  • Adhere to GDPR, CCPA, and other data‑protection regulations when handling personal client information.

Customer Support & Assistance

  • Respond to internal and external inquiries regarding data accuracy, booking details, or document retrieval.
  • Provide clear, courteous guidance to travel agents and clients who need help navigating their itineraries or confirming reservation data.
  • Escalate complex issues to senior staff while maintaining ownership of the resolution process.

Essential Qualifications

  • High school diploma or equivalent; a Bachelor’s degree in Business Administration, Information Management, or a related field is preferred.
  • Minimum of 2 years of professional data entry or administrative experience, ideally within the travel, hospitality, or tourism sectors.
  • Demonstrated ability to achieve a 99%+ accuracy rate in high‑volume data entry environments.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and familiarity with cloud‑based CRM or ERP platforms.
