Position Overview
We are seeking a highly motivated and meticulous Remote Order Entry Coordinator to join our expanding operations team. In this full-time, 100% remote role, you will be responsible for accurately entering customer service orders, jobs, and contracts into arenaflex's proprietary service software platform. Beyond data entry, you will play a critical role in verifying the accuracy of each service order, ensuring compliance with internal procedures, and collaborating with cross-functional teams to guarantee that every job is ready for execution in a timely and efficient manner.
This position requires someone who can balance multiple priorities, exercise sound judgment, and maintain a high standard of quality across multiple branch locations. Key Responsibilities
- Review approved quotes returned by customers for accuracy, exercising discretion and judgment in assessing their validity before processing.
- Set up new customer contracts in Service Trade based on approved quotes, ensuring all data fields are correctly populated.
- Assign service lines to contracts as required, following established protocols and customer-specific requirements.
- Review repair quotes and ensure jobs are assigned to the appropriate job codes, categories, and operational workflows.
- Verify customer tax status and contract details, ensuring accuracy and full compliance with applicable tax regulations.
- Assign applicable customer assets as needed for each job, maintaining proper asset tracking and documentation.
- Assign customer labor contracts to jobs, strictly abiding by appropriate labor allocation agreements and staffing guidelines.
- Collaborate proactively with the sales team to request required documentation and resolve any discrepancies in customer records.
- Adhere to standard operating procedures (SOPs) to ensure all data is entered with consistency and in compliance with approved standard practices.
- Support multiple branch locations by managing order entry tasks efficiently and maintaining organized records for each location.
- Identify process improvement opportunities and communicate recommendations to leadership for enhanced operational efficiency.
- Perform other duties as assigned to support the broader operations and customer service goals of arenaflex.
Essential Qualifications
- High School Diploma or GED is required.
- 3–5 years of professional experience in office administration, data entry, customer service, or a related field.
- Proficient knowledge of accounting processes, including invoicing, contract setup, and tax verification.
- Advanced proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
- Strong verbal and written communication skills, with the ability to interact professionally with internal teams and external customers.
- Excellent written and spoken English language skills.
- Strong analytical and problem-solving skills with meticulous attention to detail.
- Solid organizational skills with the ability to prioritize and manage multiple competing priorities in a remote setting.
- Demonstrated documentation and data entry skills with a track record of accuracy.
