Your primary mission: inspire individuals to schedule their next blood donation appointment at a local donation center or community blood drive, ultimately helping to sustain a reliable and safe blood supply for patients and hospitals nationwide. Key Responsibilities

As a Donor Outreach Coordinator at arenaflex, you will be the voice and heart of our donor engagement efforts. Your day-to-day responsibilities will include:

  • Donor Engagement & Outreach: Proactively reach out to current, previous, and potential donors via phone, email, and other communication channels to schedule donation appointments at nearby blood drives and donation centers.
  • Customer Service Excellence: Deliver exceptional, empathetic, and professional customer service during every interaction, ensuring donors feel valued, respected, and motivated to return.
  • Appointment Scheduling & Retention: Schedule donation appointments accurately, confirm logistics, and follow up to maximize donor retention and reduce appointment no-shows.
  • Issue Resolution: Address donor questions, concerns, and objections with care, providing accurate information and resolving any customer service issues in a timely and thoughtful manner.
  • Database Management & Coding: Accurately code and update donor records in the CRM system based on information provided during conversations, ensuring data integrity and compliance with organizational standards.
  • Team Collaboration: Work collaboratively with team members, supervisors, and cross-functional departments to meet outreach goals, share best practices, and contribute to a positive, high-energy team culture.
  • Performance Tracking: Meet or exceed individual and team performance metrics, including call volume, appointments scheduled, donor retention rates, and quality assurance standards.
  • Continuous Improvement: Participate in ongoing training, coaching sessions, and professional development opportunities to enhance communication skills, product knowledge, and customer service techniques.

Essential Qualifications

To thrive in this role, candidates should possess the following minimum qualifications:

  • Education: High School Diploma or GED equivalent is required.
  • Customer Service Experience: At least one year of prior customer service experience in a professional setting (retail, hospitality, healthcare, call center, or similar) is preferred.
  • Call Center Background: Previous experience working in a call center or high-volume phone-based environment is highly preferred.
  • Communication Skills: Excellent verbal and written communication skills with the ability to build rapport quickly and convey information clearly and compassionately.
  • Tech Savvy: Comfortable using computers, CRM software, multi-line phone systems, and navigating multiple applications simultaneously while maintaining a professional conversation.
  • Reliable Home Office Setup: A quiet, dedicated workspace with a reliable high-speed internet connection, a computer (which may be provided), and a headset suitable for extended phone use.
  • Flexibility: Availability to work a Tuesday–Saturday or Sunday–Thursday schedule during the hours of 10:30 AM to 7:00 PM (Arizona Time).
